Office Management Assistant (m/f/d) Part-Time
Be the backbone of our office: support teams, coordinate travel, manage logistics, and create an exceptional workplace experience for everyone.
YOUR TASKS
Ensure the seamless and efficient organization of finance support such as:
Accurately manage and process incoming invoices in a timely manner.
Organize and handle incoming and outgoing mail efficiently.
Oversee travel expense reports and company inventory.
Plan and coordinate business trips and executive calendars.
Assist with office management topics such as:
Plan, coordinate, and facilitate meetings, appointments, and company events.
Welcome and support customers and guests, providing a professional and hospitable experience.
Monitor office supplies and beverage inventory to ensure constant availability.
Manage the central company phone line, ensuring professional and timely handling of calls and inquiries.
Coordinate shipments and support logistics, including the preparation and dispatch of hardware for new joiners.
Continuously improve office management by optimizing process documentation and existing workflows.
Provide support to various teams to maintain smooth day-to-day operations.
YOUR PROFILE
Completed vocational training in commercial administration or hotel management.
Experience in a similar role is required.
Strong organizational skills and an efficient, structured working style.
Excellent communication skills in both German and English.
Precise, independent, and detail-oriented approach.
Strong team player with a service-oriented mindset.
Proficiency in MS Office applications.
HELPFUL ADDITIONAL QUALIFICATIONS
Experience with DATEV, Spendesk, and inventory management systems is a plus.
